2024 Volunteer Info
VOLUNTEER REQUIREMENTS: Each family (see below for certain exemptions) is required to fill 5 volunteer shifts per season. Families with swimmers who are age 10 and under are required to serve as a Bullpen Parent for 3 of your 5 shifts. Your family must be compliant with volunteer requirements in order for your swimmer to participate in meets.
VOLUNTEER SIGN UPS: Sunday, May 5th at 5pm via this website or the SwimTopia app.
VOLUNTEER EXEMPTIONS: Certain Stingray families are exempt from volunteer requirements:
- Mini-Ray Families (families with only Mini-Ray swimmers- until the swimmer moves up to the 6 & Under team)
- 16 & Over Families (families with only 16 & Up swimmers)
- Coaching Families (does not apply to Mini-Ray Coach families)
- CRC Swim Board/Committee Families
VOLUNTEER JOB DESCRIPTIONS: See below for a brief description of each volunteer job to assist you with what to expect.

NOTE: Each Meet = 2 Shifts
- 1st Shift: Event #1 - #43
- 2nd Shift: Event #44 - #86
- Mini Rays / 6 & Unders: Only swim 1st Shift

Computer Monitor
- Location: On Deck (Sitting)
- Manages scoring/entry software throughout the meet in coordination with opposing team. This position requires training and lasts the entire meet.

Deck Manager - Lead/Assistant
- Location: On Deck (Standing)
- Organize swimmers on deck by heat and lane. Bullpen Parents will deliver swimmers to the deck. Requires two volunteers: the experienced Lead Deck Manager and the Assistant Deck Manager. The Assistant will work with the Lead to learn the position as well as execute relays from the opposite end of the pool. Heat sheets/clipboards are provided. Lead Deck Managers must have previous experience as Assistant Deck Manager for one season.

Timer
- Location: On Deck (Standing)
- Clock and record swimmers' times. Timing equipment (either manual or electronic) is provided. Requires one CRC volunteer at each competition lane. Footwear that can get wet is recommended!

Place Judge
- Location: On Deck (Sitting)
- Judge swimmers placement (finished 1st, 2nd, 3rd, etc) at the end of each heat. Place Judges are provided forms to document their placement decisions.

Master Recorder
- Location: On Deck (Standing)
- Collects the recorded times from the timers on a scoresheet when the event is complete. Data collected by the Master Recorder is brought to the scoring table via the Runner. This position is scheduled for every meet, but may not be needed at meets where an electronic timing system is used. This position is in consistent motion and needs appropriate footwear.

Judges Recorder
- Location: On Deck (Home Meets Only)
- Record the finishing places as judged by the Place Judges on provided forms. Provide completed forms to Master Recorder/Runner or directly to computer scoring area if nearby.

Runner
- Location: On Deck/Scoring Area (Standing)
- Collects data from the Master Recorder and delivers promptly to the computer scoring area. This position is scheduled for every meet, but may not be needed at meets where an electronic timing system is used. This position is in consistent motion and needs appropriate footwear.

Bullpen Parent
- Location: Age-level Bullpens/Parking Lot
- Age-level bullpens (by gender) are provided for 6 & Unders, 7/8s, and 9/10s. Swimmers over the age of 10 are responsible for their own meet management. Each age-level bullpen requires three Bullpen Parent volunteers per shift. Bullpen Parents will divide the responsibilities of: lining up/locating swimmers for each race, delivering swimmers to the deck timely, supervising swimmers in the bullpen who are not currently racing, and running swimmers to the rest room as needed. Swimmers are not to leave bullpen area without permission. Heat sheets/clipboards are provided. This position allows you to remain with your swimmer for the entire shift! 6 & Under Bullpens are for 1st Shift only.

Tent Management
- Location: Varies Based on Venue
- Arrive at meet with CRC-provided tents by 3pm. Set up tents for announcer, bullpens and scoring table. Collapse and remove tents at the end of the meet. These entire season positions require heavy lifting and vehicles large enough for tent transportation. Team tents are located in off-site storage unit. Ownership of team tents for the season is optional if preferred.

Floater
- Location: Varies Based on Assigned Position
- Fill in during the designated shift as needed during the meet. Responsibilities can vary from being a timer to working the concession stand to manning a bullpen. Check in with the Volunteer Coordinator periodically and respond to any calls for Floaters from the Announcer. Time may be required the entire shift or only part of the shift depending on the needs of the meet.

Ribbon Writer
- Location: Varies Based on Venue
- Affix printed labels on the appropriate ribbon based on meet results. Organize awards into a ribbon box for distribution at Fun Friday. This position is 2nd Shift only.

Fun Friday Assistant
- Location: CRC Pool or Ballfield
- Arrive at Fun Friday by 9:15am. Assist the Social Chair with various tasks during Fun Friday the morning after the meet (passing out ribbons, distributing breakfast items/treats, etc.)

DJ/Announcer
- Location: Upper Deck (Home Meets Only)
- Announces events, heats, and important information to keep our meets running smoothly. Works closely with meet official and CRC Swim Reps. Entertain the crowd with music and acknowledgement of our swim team sponsors. This position requires training and experience with sound equipment.

Concessions
- Location: Concession Stand/Parking Lot (Home Meets Only)
- Organize and sell food/drink items. This position includes set-up (1st Shift) or clean-up (2nd Shift) in addition to meet hours.

Concessions Donations
- Location: Venmo sent prior to beginning of the season.
- Donate $30 Venmo for Concession Chairs to use for purchasing specific types/amounts of food/drinks to be sold at our Stingray Concessions Stand at home meets.

Parking Signs
- Location: Neighborhood Streets Surrounding CRC Pool (Home Meets Only)
- Place parking direction signs on neighborhood streets and in parking lot. Collect signs after the meet. This entire season position requires ownership of parking signs for the month of June.

Parking Lot Manager
- Location: Parking Lot (Home Meets Only)
- Arrive to the meet by 3pm. Responsible for blocking off portions of the parking lot at 3pm for parent drop-offs and closing the entire parking lot off by 4:15pm. Direct visiting team families to appropriate set up areas. Direct cars attempting to enter the lot to alternate parking areas. This position's duties are complete before the meet starts.
